This section supports the day-to-day work of EWB-SWE’s volunteers. Here, you’ll find practical guidance and resources covering key operational areas such as financial reporting, volunteer recruitment, partner and sponsor relations, and local group activities

Economy and financial reporting

 

Certification financial reporting and signing of agreements

This document describes routines and powers for certification, financial accounting and signing of agreements within Engineers without Borders., The document clarifies how to proceed for payments intended to cover private expenses as well as advance payments and approval for financial administrator to pay incoming invoices.

Declaration of expenses - Template

Use this Excel form to declare the expenses you have had on behalf of your group. Please add copies or clear images of your verifications ans send it to our treasurer Jan Byfors. Don’t forget to add your cost center.

 

List of cost centres / Kostnadsställen

Each local group or activity within EWB-SWE has a specific kostnadsställe (cost centre). It’s important that you know and use the correct number when reporting expenses or handling finances. Refer to the list below to find the right kostnadsställe for your work.

Volunteer Recruitment

 

Recruiting new volunteers is key to keeping your team active, engaged, and effective. As a team leader or project manager, it’s your responsibility to identify and fill roles within your group or project—whether for ongoing work, local activities, or specific positions like event organisers or thesis students.

To support you, we use Volontärbyrån — a user-friendly platform where you can post volunteer opportunities and attract new talent.

Regulations for local groups

These regulations define the authority and structure of local groups within EWB- SWE. This document is a translated version of the Swedish document Reglemente för lokalgrupper inom Ingenjörer utan gränser, determined by the Annual Meeting on 2018.03.28 and updated 2024.

Team building and recruitment in local groups

Recruitment of volunteers to our local groups and team building activities are essential for our local groups to thrive and contribute to the work of the organization. Please note that the annual expense allowance for each group is now set to SEK 5,000.

GLC – Group Leader Committee

GLC Meetings – The Group Leader Committee (GLC) consists of the Group Leaders and Vice Group Leader of every local group. The GLC meets every month, usually the 3rd or 4th Thursday of every month at 5:15 PM. The meeting is coordinated by the Local Groups Coordinators, Salman Rahman and Petter Wihlborg.
